Web Based Intranets Over Traditional Software Solutions

The old school method of implementing an intranet is to buy a software package, alter it for your needs, then install it on your system.

But a big shift has taken place over the last couple of years, installing a web-based solution.

As you consider the choice between installed software and a web-based intranet, here are some considerations:

1. Everyone must use an intranet.

To get everyone using an intranet, it must be easy to implement. It also needs to be simple to use. It should be cost-effective to maintain and give each user the power to write, retrieve, and use information in a way that lets them accomplish their job. In other words, the intranet must have value for everyone.

Web-based intranets are designed around this concept. The interface and navigation are consistent with their use of the web " an environment in which they feel in control, using familiar tools. If you know how to use a Web browser, you know how to use an intranet service.

Compare that to how the business world is filled with countless feature rich software applications that failed because they were just to unique and complex. These failures were the result of requiring someone to learn an entirely new software program for each specific task they wanted to accomplish.

Unlike web-based intranets, out-of-the-box software solutions force users into a limited environment that requires in-depth training with little standardization between software developers.

2. Software based solutions have larger costs.

Software based solutions require extensive internal support. The ongoing expense in both staff time and money takes the focus of your IT group away from mission-critical tasks.

System integration, implementation, maintenance, technology upgrades, training and user support are all on-going tasks that represent a significant, recurring investment. The cost can be substantial, far exceeding your initial license cost.

3. Web-based intranets are cheaper.

Unlike software, web-based intranets offer a fixed monthly fee, usually from $6 to $12 per user. This includes all training, upgrades, and user support issues. Your IT staff will have very little involvement, if any, with your web-based intranet.

These are only a few of the reasons why more corporations are changing from software based solutions to a web-based intranet.
